Agenda

  • Need to update and vote on COVID rules and the sign in requirement
    • Vote from earlier this year was never recorded in the minutes and so is not legally valid.
      • Taking minutes is actually the legal record of Hive business and needs to be handled carefully and include all critical votes and decisions.
    • COVID rules, recommendations and procedures should be reviewed periodically (maybe quarterly) or when there are substantial changes.
  • Handling COVID related issues
    • This type of thing was never anticipated in the bylaws or the way things are handled.
    • We have been "winging" it so far, and not necessarily correctly.
    • What changes to existing rules and recommendations can be done to make it more effective?
  • Other topics
    • Financial status (Treasurer)
    • QuickBooks transition status
    • COO report / warden status
    • We again have access to the 2nd floor conference room. Get details from the COO.
    • Problems with the main 3rd floor door
    • A huge number of members are getting or seriously thinking about renting their own spaces in 2701.
    • Brad's offer of a TV donation
    • Membership status and driving growth of not

How can we improve our COVID preparedness

  • More emphasis on encouraging disinfection of high touch surfaces (lightswitch, door button, bathroom knob, etc)
    • We don't have a maid, we're responsible for our own cleanup
  • Should we visually indicate what the high touch surfaces are?

Finances

  • Per Jim financially we're doing ok
    • November numbers available in Quickbooks channel. Join if you're interested
    • COVID hasn't impacted us too terribly
  • Our fixed expenses are rent, insurance, paypal fees, so we're still cash positive monthly currently
  • Could we put AC up for a vote in Feb? Do we have the finances that it would be responsible?
    • Takes a lot of cushion, would be tight
  • When votes are passed, what is our remainder?
    • Current open finance software does show that info but maybe not in the most user friendly
    • Jim and V trying to find a way to do this in QB
  • If AC is 8-9k, we can probably pay for that with our cash positive in about 8 months with current trend
    • Vote should get out sooner rather than later
    • It doesn't all have to come out of income/reserve. We can do 1/2 and 1/2, etc.
    • Need someone to champion this and write a proposal that is palateable to membership. AC is generally received
    • QB might not necessarily make things easier to forecast, but will give us better concrete visuals for paths and easier to show data
  • PowerBI - have a couple seats available. Could use data from QB for this if we want. Have that available to us

Wardens

  • Woodshop is doing well.
  • Todd, Austin, Doug, Coy, have been rocking the wood shop progression and stepping up to the plate - Thank you.
  • Should we raise the warden budget? Should we have a Hive budget?

Third floor door

  • It's got a problem
    • Velzy thinks he needs to add bearings to roller
    • Has bearings that will be strong enough. just needs time
    • Needs to be planned out ahead of time

Brad's TV

  • Can use large TV for signage - events, etc

Misc Note

  • BNI organization that get together once a week/month and talk about what they have to offer, pitching themselves - this is something we may want to consider.
  • How do we come out of this coming out of quarantine, people are gonna wanna make
  • if our first responder members want to be more aggressive on outreach once they've been vaccinated, we welcome that
  • We don't need to have an answer for an incoming surge now, but keep in mind that it's coming.
